A new way to streamline approval governance
In today’s fast-moving organizations, managing financial approvals and signing authorities is more critical and complex than ever. Many organizations using Dynamics 365 Finance & Operations still rely on fragmented solutions or manual processes to track signing limits. This often leads to inefficiencies, lack of visibility, and governance risks.
Today, I am excited to introduce the Signing Limit App a modern, intuitive solution designed to transform how organizations manage, search, and govern signing limits across their enterprise.
Built to solve a real business challenge
Dynamics 365 Finance & Operations does not provide a standard, user-friendly report for signing limits. Teams often struggle with:
- Limited visibility into signing authority across workers
- Manual tracking and scattered data sources
- Difficulty searching or validating approval limits
- Lack of real-time updates when changes occur
The Signing Limit App addresses these challenges by bringing all signing limit data into a centralized, easy-to-use experience built with Power Platform
A unified experience for signing limit management
The Signing Limit App is designed with simplicity and usability at its core. It connects directly to Dynamics 365 via a custom data entity and presents the information through a modern interface.
🧭 Key capabilities
🔍 Search and discover instantly
Quickly find signing limits by employee, name, or criteria using built-in search capabilities.
📊 Centralized dashboard view
View all signing limits in one place with grouped and structured data for better clarity.
🔄 Real-time refresh
Ensure you always have the latest information with refresh capabilities tied to Dynamics data updates.
👤 Intelligent handling of missing data
Automatically handles scenarios like missing workers by displaying “No worker” instead of blank values.
📁 Export to Excel
Easily export signing limit data for analysis, reporting, or compliance requirements.
Header Screen (Main Gallery View)
The Header Screen serves as the main landing page, displaying a gallery of all signing limit records sourced from Dynamics 365 Finance and operations.
- Displays all signing limits from MSD (via Data Entity)
- Search functionality:
- Users can search by Signing Limit Name
- Refresh option:
- Ensures latest records are loaded when new signing limits are created in MSD
- Filter options:
- Active
- Inactive
This screen provides a quick overview and easy navigation to detailed records.
Detail Screen (Policy Rule View)
The Detail Screen is displayed after selecting a record from the Header Screen.
- Displays records based on selected Header (Signing Limit)
- Shows all related policy rules
- Data is filtered based on:
- Effective date/time
🔍 Detailed Information Displayed:
When an effective record is selected, the following fields are shown:
- 📌 Document Type
- PO (Purchase Order)
- PR (Purchase Requisition)
- 💰 Amount (in Currency)
- 👤 Worker Name
- 🧑💼 Job
- 🏢 Position
- 🔗 Reports To Position
Export to Excel
The Export to Excel functionality in the Signing Limit App enables users to extract selected signing limit records from the gallery into an Excel file for easy sharing, analysis, and reporting purposes. This feature is particularly useful for managers and stakeholders who need a clear overview of signing authority configurations outside the Dynamics 365 Finance and Operations environment.
By using Export to Excel, users can generate a structured dataset containing key signing limit information, which can then be distributed or reviewed offline.
Data Included in the Export
The exported Excel file includes the following signing limit details:
- Signing Limit Name – Identifies the specific signing limit configuration
- Effective Date – The start date from which the signing limit is valid
- Expiration Date – The end date after which the signing limit is no longer applicable
- Document Type – The type of transaction or document covered under the signing limit
- Amount – The financial threshold assigned to the signing authority
- Job – The job role associated with the signing limit
- Position – The organizational position linked to approval authority
- Worker – The employee assigned to the signing limit
- Reports To Position – The reporting hierarchy defining approval flow
Designed for business users and administrators
The app provides a seamless experience for both business and technical users:
- Business users can quickly search and validate approval limits
- Finance teams can ensure compliance and governance
- Administrators benefit from a scalable and maintainable solution
By leveraging Power Apps + Dynamics 365 extensibility, the solution remains flexible and future-ready.
Turning complexity into clarity
With features like grouping, filtering, and sorting, the Signing Limit App transforms complex datasets into actionable insights.
For example:
- Group signing limits by validity dates or categories
- Filter by active records and search criteria
- Sort data dynamically for better decision-making
This ensures that users can focus on insights, not data hunting.
From customization to innovation
This solution started as a customization need within Dynamics 365 but evolved into a reusable app that organizations can adopt to modernize their approval processes.
It demonstrates how the Power Platform can extend Dynamics 365 capabilities and unlock new business value without heavy development overhead.
What this means for your organization
By adopting the Signing Limit App, organizations can:
- Improve governance and compliance.
- Increase visibility into approval structures.
- Reduce manual effort and errors.
- Enable faster decision-making.
